Registration Procedures

For the past several years, there have been more than 800 Registered Organizations on campus. These organizations provide opportunities for their members to broaden their experiences beyond the classroom, lecture hall and laboratory – opportunities for leadership, teamwork, and carrying out innovative ideas for making a difference on campus are limitless, given the variety and number of organizations represented. All organizations meeting the registration requirements are accepted.

  1. Requirements For Registration

    1. Any group of two or more people.
    2. Membership is restricted to currently registered University of Illinois students, faculty, staff and their spouses. Authorized agents must be students, faculty, or staff.
    3. Any group composed primarily of university affiliated members but who also have active members not affiliated with UIUC, may register as a Campus-Community group in the Office of Facility Management and Scheduling, 320 Illini Union Bookstore Building, 333-1230.
    4. The organization is in full compliance with all federal and state nondiscrimination and equal opportunity laws, orders and regulations.
    5. In addition, registered organizations shall not practice discrimination against a member or prospective member on the basis of race, color, religion, sex, sexual orientation, national origin, ancestry, political affiliation, age, marital status, handicap, unfavorable discharge from the military or status as a disabled veteran or veteran of the Vietnam era, except as specifically exempted by law.
    6. The name of the organization should:

      1. Not be in conflict with an existing Registered Organization.
      2. Not be the same as a nationally registered organization or society unless it is a local chapter of that organization.
      3. Not be an acronym only. The entire name of the organization must be written out.
      4. Not include the words “University,” “University of Illinois,” or any abbreviations thereof except in the form “at the University of Illinois at Urbana-Champaign” which may follow the organization’s particular name.
      5. Be in good taste.

  2. Procedures for Registration

    1. Online Registration

      1. To submit an application for registered organization status, please visit the Office of Registered Organizations Web page: http://www.union.uiuc.edu/iurso/sign-in.aspx
      2. Select "REGISTER YOUR ORGANIZATION"
      3. Read the "Application for Registered Organization Status." The organization must AGREE with the requirements as outlined in "Code of Policies and Regulations Applying to All Students - Registered Organizations, Section 102 and 103."
      4. Select "I agree to the above requirements"
      5. CONTINUE—Complete all required fields on the registration form.
      6. Create an organization password (the password should relate to the organization and be easily remembered.) This password will allow the authorized agents to access the database and view organizational information as submitted.
      7. SUBMIT
      8. Once you have submitted an application for registered organization status:

        1. Print the Nondiscrimination Form as indicated
        2. Have the authorized agents sign the Nondiscrimination Form
        3. Submit the signed Nondiscrimination Form to the Office of Registered Organizations (Illini Union room 280).
      9. Access your UIUC email account, as indicated by the authorized agents NetID, for a message from the Office of Registered Organizations verifying that you are an authorized agent as indicated on your registration form.
      10. The Director of Registered Organizations will review all completed applications. The authorized agents will be notified by email of the status of the application.

    2. The president and treasurer must be indicated on the submitted online registration form. In addition, the organization may select a third authorized agent. These individuals whose signatures appear on the registration form become the group's "authorized agents," and one of them is required to sign any requests for services, purchases or space from the university. These signatures are checked against the original application forms to confirm validity.
    3. If the organization has or requests an Organization Fund account, it must have a treasurer. If the organization is new, an Organization Fund account number will be assigned as soon as the treasurer has attended the mandatory Treasurers Workshop.
    4. Registration is valid from September 15 of one year to September 15 of the following year. New forms must be filed, however, whenever a new authorized agent is selected for the organization.
    5. Although advisers are not required for Registered Organization status, organizations are encouraged to utilize faculty or staff as advisers. Advisers also may be from outside the university community. However, only advisers who are affiliated with the University of Illinois may sign documents or requests on behalf of the organization if they are identified as an authorized agent.
    6. Requests for funds from SORF will not be accepted from organizations that are not registered at the time the applications for funds are due. SORF applications are only accepted from Registered Student Organizations.
    7. Registrations may be submitted throughout the academic year. Organizations that have not pre-registered by the September 15 date forfeit their registration status with the university and will have their Web pages removed from the UIUC server. When an organization is registered, it may access its Web page. New organizations will be allocated space on the UIUC server to build a Web page when they are registered.
