Definition of Terms



Illini Rooms


Event Types


Banquet – An event with a meal as an integral part of the event.

Conference – An event that has multiple meetings within a single event. Common traits may include registration of participants, multiple sessions, multiple days of use, multiple speakers or presenters.

Expo – An event that is arranged to facilitate large numbers of people the ability to view or inquire about varieties of information. Examples of types of expos would include job fairs, product exhibits, health fairs, exhibit halls, career fairs, and resource fairs.

Meetings – An event that has a speaker or presenter and an audience or a gathering of people engaged in dialogue in a room.

Reception – An event that has an unstructured flow of guests attending. May include food or beverages in a non-sit down dining format.

Recruiter – An event or meeting where a company or agency actively engages in the process of recruiting students for employment or internship.

Social/Entertainment – An event with a gathering of people that are in attendance to be entertained and/or interact with others at the event.

Weddings – Non-university held events that are celebratory in nature.


Set Up Types


As Is – Room pre-arranged with furnishings assigned to that specific room. Example would be meeting room 402.

Banquet – Room set up for dining that includes the use of 60” round tables. Tables placed in either horizontal rows with columns or horizontal rows with offset columns. Tables set with eight chairs per table unless otherwise specified.

BTs for Dining– Room setup that uses 72” x 32” tables for dining. Tables to be placed in rows end to end with three chairs on each side of the 72” length for a total of six per table.

Classroom – Tables in horizontal rows facing the same direction, each table to have three chairs unless otherwise specified.

Clear Middle w/Chairs – In the Ballroom, when luncheon equipment is moved to the side and placed behind portable pegboards.

Comedy Café – Courtyard Café set up that uses Courtyard Café tables with four chairs per table and arranged for view of the stage.

Conference – Tables placed together in a pattern that facilitates ease of discussion amongst attendees

Dance – Room cleared for maximum amount of space for dancing. Chairs placed around walls for seating if specified.

Empty – Room left empty with no furniture of any type.

Rounds – Rounds tables set with six to eight chairs - no food.

Special – A unique set up that is easily described in "Set Up Notes" and not complicated enough for a diagram.

Theater – Arrangement of chairs in horizontal rows facing the same direction. May or may not have an aisle(s) depending on the number of chairs used.


Online Reservation Terms


Client – The name of the academic department or administrative unit sponsoring the meeting or event.

RSO Decline – Event declined by the Office of Registered Student Organizations.

RSO Under Review – RSO request pending the Office of Student Organization's approval.

Web RSO Request – A submitted request by a Registered Student Organization.

Web Request – Indicates a request has been submitted and received by the system.

Web Decline – Indicates there is a conflict with your requested room(s). The reservations staff may assign you to a different space based upon the other information included in your request. Whenever you receive a Web decline, you are encouraged to contact the Illini Union Reservations Office at iumeetingrooms for more information.

Web Accept – Indicates there is no conflict with your request room(s). If the event date falls within the current semester, the space will be confirmed and you will receive documentation. If the event dates falls in a future semester, the request will be considered "tentative" until the appropriate confirmation date at which time a final decision can be made on your request. Confirmation dates are November 1 for spring semester, April 1 for summer sessions and June 1 for fall semester.
